Book an Appointment is designed to allow constituents to book an appointment with your agency. Utilizing a calendar integration (purchased seperately), requests are automatically fulfilled as constituents are only able to book appointments available on the connected calendar. Constituents will automatically receive formatted responses to their request to confirm appointment acceptance. Staff calendars will be populated with the appointment, and revelant details, automatically.
The Book an Appointment form consists of four form sections to guide the constituent through their request:
This section informs the constituent of the purpose of the form. This can be used to describe appropriate use of the form, provide alternative instructions for issues that may be of a more urgent nature, or provide links to FAQs.
The constituent is asked to confirm their personal details to ensure that they receive the appointment confirmation(s).
This section allows the constituent to book the appointment based on availability of presented in the connected calendar. This can be customized to include the opportunity to provide text and, if the agency desires, upload files, in advance of their scheduled appointment.
The Summary section displays the constituent's selection before final submission and appointment booking.
Upon form submission, the request is automatically approved; no case action by staff required.
There are two stages included in the Book an Appointment service:
This is the Book an Appointment request completed by the constituent.
This is the request for the constituent to cancel or amend their original appointment.
There are two notification triggers that can be activated throughout the workflow:
Upon submission of the initial request, the constituent receives an email acknowledging their appointment has been booked.
Upon submission of the initial request, assigned staff receive an email notifying them that a new appointment has been booked.
